Questions
Frequently asked
Answers to the most common questions about working with us — from project timelines to billing, Whop payments, and what happens after launch.
Engagement & Process
How long does an AI project take?
Project timelines depend on scope. Most AI automation systems and chatbots are delivered within 2–6 weeks. Custom SaaS applications and complex multi-system integrations run 6–16 weeks. We give you a precise timeline in the written proposal after the discovery call.
Do you offer ongoing support after launch?
Yes. Every engagement includes a defined post-launch support window (typically 30 days) during which we fix defects, adjust logic based on real-world usage, and fine-tune the system at no additional charge. After the support window, ongoing maintenance and optimization are available as a separate engagement.
Can AI integrate with our existing CRM or software?
Yes — integration with existing systems is the norm, not the exception. We work with HubSpot, Salesforce, Pipedrive, Notion, Airtable, Zapier, and bespoke internal tools. Anywhere there's an API or a webhook, we can integrate.
Is AI suitable for small businesses?
Yes. Smaller teams often see the largest relative impact from automation — replacing two or three manual workflows can effectively double operational capacity without adding headcount. We scope projects to match the business size, so you're not paying for enterprise infrastructure you don't need.
What does the discovery call cover?
It's a free 30-minute conversation focused on understanding your business: where time is going, where leads or customers are falling through the cracks, and what your current tools look like. We don't pitch on the call — we ask questions and listen. By the end, we'll have a clear picture of the highest-leverage automation opportunities and a sense of whether there's a fit.
Do you sign NDAs?
Yes. If your project involves sensitive business processes or customer data, we're happy to execute a mutual NDA before the discovery call. Send a request to support@avestian.com.
Pricing & Payments
How is pricing structured?
Pricing is project-based with a fixed total. You receive a written proposal with a defined scope and the full project fee before any work begins. Payments are milestone-tied — typically a deposit before work starts and one or more payments aligned to delivery checkpoints. No hourly billing, no retainer padding.
What payment methods do you accept?
All payments are processed through Whop, our payment platform. Supported methods include credit and debit cards, Apple Pay, Google Pay, PayPal, ACH bank transfer, and stablecoin cryptocurrency.
Can I pay in installments?
Yes — milestone-based payment schedules are standard. The specific breakdown (deposit plus one or more milestone payments) is defined in the proposal and matched to delivery checkpoints so you pay when work is demonstrably complete.
Do you offer refunds?
Due to the custom nature of our work and the immediate resource allocation that begins at project kickoff, payments are non-refundable once project work has commenced. Refund eligibility for cancelled projects before work begins is governed by the per-engagement contract. If you have a concern, please contact us or open a case in the Whop Resolution Center before initiating a bank dispute.
About Whop
Why do you use Whop for invoicing?
Whop is our secure payment processing partner and Merchant of Record. It gives us professional invoicing with multiple payment methods (cards, Apple Pay, Google Pay, PayPal, ACH, crypto), a private client portal for every engagement, and a clear audit trail for every transaction. It also gives clients verifiable receipts and a structured dispute resolution process.
Is Whop safe?
Yes. Whop is a US-based payments and commerce platform that has processed over $2.9 billion in payouts to creators and agencies globally. All transactions are PCI-compliant and encrypted end-to-end.
Will I get a proper invoice and receipt?
Yes. Every payment generates a downloadable receipt with our details, your details, the line item, tax information, and a unique invoice number — all accessible from your Whop account at any time.
Can I dispute a charge if something goes wrong?
Yes — and we encourage you to use Whop's Resolution Center first rather than initiating a bank chargeback. Resolution Center disputes receive a faster response and a fair review process. We respond to all Resolution Center cases within 48 hours. See our /whop page for the full process.
Do I need a Whop account to pay an invoice?
No. You receive a payment link by email and can complete payment without creating an account. If you'd like access to the client portal features (project files, communication, milestone tracking), creating a Whop account takes about 30 seconds.
Delivery & Ownership
Who owns the code or systems you create?
You do — on delivery and receipt of payment in full. All custom deliverables become your property. We retain no usage rights over your specific implementation. Open-source libraries and third-party APIs retain their original licenses, which we cannot transfer.
Will I receive the source code?
Yes. Source code is transferred to you at project completion. We provide a handover package that includes the repository, documentation, deployment instructions, and a walkthrough of how everything fits together.
Where will my project be hosted?
That depends on the project. We typically deploy on Vercel for web applications, with Supabase for the database layer. For custom requirements (AWS, GCP, self-hosted), we can build and deploy to your preferred infrastructure. Hosting is under your account — you're not dependent on us for uptime.
Do you provide training and documentation?
Yes. Every delivery includes documentation covering how the system works, how to maintain it, what to monitor, and how to make common configuration changes. We also conduct a live handover walkthrough with your team.
After Launch
What kind of support do you provide after launch?
Within the post-launch support window (defined in the contract, typically 30 days): defect fixes, logic adjustments based on real-world usage, and system tuning — all at no additional charge. After the support window, ongoing maintenance, performance optimization, and feature additions are available as separate engagements scoped on request.
